HOA Meeting Summary

  • With more board members now, sub-groups have been set up to help oversee what’s happening in our community. One is working with Larry on construction/repair, one will keep an eye on our landscaping, and another will be involved with communication (newsletters).
  • The board will continue to review architectural requests. (See below for a form.)
  • The board received the requested contracts for vendors; these are being reviewed and discussed.
  • It was agreed to continue the meeting schedule of quarterly meetings during the winter and monthly during the summer.


Looking at the budget:


1. There will be no more cutting of trees for this year (2022) due to lack of funds. Tina will look into the possibility of obtaining free trees from the different organizations offering them and their requirements/types of trees.


2. It is necessary to ensure that more money is going into our reserve (savings) account to ensure that there is funding for projects when the need arises. The board plans to keep an eye on this, as this was one of the reasons the fee was raised. (The board will be looking for ways to meet the community needs while also trimming the budget.)


  • A request was made to find out an approximate cost from the attorney (if possible) for updating our by-laws.
  • The board also asked PSG to provide any information about current outstanding issues, open work orders, and to recieve this information on an ongoing basis.


And in the meantime ...


  • With the hiring of a new snow removal company and hefty snowfall, board members and PSG heard your concerns. Communications went back and forth with PSG, to the removal company, etc. to get everyone on the same page. When there the next big snow comes, removal should go more smoothly. However, please note ... driveways will not be plowed if cars are parked in them.

  • Sandpiper Bay HOA has architectural guidelines that maintain a level of uniformity throughout the community which helps maintain our property value. For example, did you know that your storm/screen door should be a specific color for the building in which you live? (You may notice that some homes do not match!) Your garden area is where you can put your green thumb to good use, but any additions to the exterior of the building should be verified with the HOA Board beforehand. You can submit this Architectural Form to PSG or a board member.

Group Chat Topic

One of the Group Chat topics lately has been the recent visits by neighborhood coyotes. Research is showing that with a recent loss in habitat, it is becoming more common to see coyotes in residential areas. They are looking for food so we need to find humane ways to discourage them

from visiting SPB:


• Feed your pets inside and be sure not to leave any pet or human food outside at any time.

• Keep garbage inside if possible and tightly sealed.

• Clean any fallen fruit or bird seed from the ground or bring birdfeeders inside for the time

being.

• If you see a coyote, make a loud noise to discourage them from coming closer


Shout Out’s / Chimney’s

Thank you to Linda Bean for her time and effort getting us a reduced price with Ely Stokes

to have our Chimney’s cleaned and inspected!! We have heard from homeowners that the inspection revealed both major and minor repairs needed, so once again, thank you to those of you that signed up. We all know our fireplaces are old so it is vital they are maintained properly. 

• Our fireplaces are not built for extremely hot/roaring fires so whether you burn real wood or a

Dura Flame type log, keep the flames to a minimum

• Never leave a fire unattended

• Never add paper or cardboard boxes to your fire

• Always make certain your damper is open.

• Spring Clean-up date –we are thinking later April.  As a community, we will rent an edger, pick up sticks, assist homeowners that need assistance with yard clean-up, spray for weeds, etc. We may also use this weekend to plant new trees, not sure just yet. Stay tuned for an exact date.

The board asks that you please take time this to  read  these  documents, all  are  located  on our website,  and  submit  suggestions  that  you  have  for  updates. Please be detailed in your suggestions and submit them to

info@psgcondos.com. These are the documents that we all must live by, so the updates should be community decided. As of February 18th, no one has submitted any  suggestions and  we  know  there  are  suggestions  out  there.    This  is  our  chance  as  a  community to  stand united as to how

our community is governed.  Please respond with your thoughts, ideas, or comments.

Feb 17th HOA Meeting Recap


Our first Zoom meeting was a success, thank you to those that joined! The main topic of discussion was the recent snow removal debacle now being termed as Snowgate 2021. The community, Board and PSG feel it is time to part ways with our current Lawn Service / Snow Removal contractor. PSG will be taking bids and the Board will be interviewing prospective companies to take over the contract.  Please note, that we are contracted through 2021 with our current company, so we will be parting ways at the end of this year. As that is not the best scenario, we will be able to walk these prospective companies around this spring and summer so they can see what needs to be improved upon. Other topics discussed were:


  • Community Clean-up Day this Spring. Edging, painting utility boxes, cleaning mailboxes, bush trimming, etc.


  • Tree planting to replace the River Birches that have been removed.  We can choose from Tulip, Pin Oak or Santa Claire Pear.


  • Chimney Sweep Project

Again, we have to thank Dan Ingersol for his dedication to SPB and his neighbors. Dan spent numerous hours blowing snow and clearing the entrance to help us all out during Snowgate 2021. Thank you Dan!!

  • Our neighborhood is not an ashtray.  Throw your cigarette butts away in your own trash.
  • Pick up after your pet!
  • Please leave your front and back door lights on at night.   
  • If you are out walking and see a piece of trash, be a neighbor and pick it up.

Chimney Sweep

Interested in having your chimney cleaned? Contact Linda Bean at lindasusanbean@gmail.com no later than February 26th. If 10-19 homeowners sign up the cost drops to $109 from $159. If 20 or more homeowners sign up, the cost drops to $99. All cleanings will be done within a 2 to 3 day window so flexibility is an asset. Inside access will be required. Linda will coordinate for those that sign up when the cleaning will take place. Any questions, please contact Linda.

Ongoing issues/Reminders 

  • Pick up after your pet!  Waste bags are supplied for you on the southwest and northeast corners of SPB.  Please dispose of your waste bags in your trash only.  There is never an excuse to not pick up after your pet.
  • Outside lights are the cheapest and best security we can provide our community.  Please leave your front and back door lights on at night.   
  • If you are out walking and see a piece of trash, be a neighbor and pick it up.

Group Chat

Our community has an active and helpful group chap through the app ‘GroupMe’. If you are still not a member and would like to be then please let a board member or Donita Murphy Sims know. The Group Chat is used to make everyone aware of security issues, event reminders, lost pets, neighborly assistance if needed and all-around community awareness.


Property Services Group, PSG Corner

A new section for 2021, will include topics, concerns or issues that PSG is hearing about the entire community is aware of what is being talked about and what is currently being worked on. This will add to the transparency that we work to maintain. 

 

The first quarter of 2021, PSG will be working on light repairs, soil and seeding for the areas where trees were removed and chimney work on the upcoming buildings that will be painted. Recently, the calls that have come into PSG have been issues with the light posts not working and to our knowledge, those issues have been corrected. The Sandpaper July 2020

The Sandpiper Bay HOA held a meeting on July 15th at MCL Cafeteria. Over 20 homeowners, two representatives of Property Service Group, and the HOA’s attorney, Jacob Lawrence, were present. The meeting started with details and Q&A session with Mr. Lawrence regarding the latest rental amendment.  Here are some highlights as to what he explained:


1.     Going forward, any homeowner that is currently renting their unit can continue to rent.  If their tenant leaves, the homeowner can find another tenant and continue to rent.


2.     Going forward, if a current homeowner has lived in their unit for 5 years, they are able to rent.  If a current homeowner has lived in their unit for 3 years, they would need to remain a resident in that unit for another 2 years and then they are able to rent.


3.     When renting a unit, the minimum lease of 1 year is required.


4.     Tenant information is to be given to the Property Management Co for communication purposes.  We want tenants to receive Newsletters and feel a part of the community.

5.     The entire unit must be rented, sub-leasing is not allowed.


6.     A homeowner must be current with HOA dues to rent.


7.     The homeowner is liable for tenant actions.  Tenants must still follow the Covenants and By-Laws that govern the community.


8.     A Hardship Waiver can be submitted to the Board if the homeowner is in desperate need of renting their unit but may not meet the qualifications.

st or they can be dropped off with a Board member.

Other items of business at the meeting included a discussion about our landscape/mowing provider, an up coming community garage sale in September and various other topics. The next HOA meeting is tentatively set for September.


COMMUNITY WALK


Since the last newsletter, the board has walked the community and made a list of items that we feel need to be addressed. They will be addressed based on budget and urgency. Items noted include:


  • Front areas & Back patio areas are the responsibility of the homeowner.  Thank you to all who have taken the time to refresh their area this summer by weeding and planting, they look amazing!  There are just a few that need assistance and the board will be contacting those homeowners to see if we can assist with cleanup and trimming.
  • Trees always seem to be a topic of discussion at Sandpiper.  Lesson learned is never plant a River Birch tree!  There are many trees that need to be removed and trees that need to be trimmed.  We are all aware and will work to conquer this undertaking.
  • Bushes are also a topic of discussion at Sandpiper.  Bushes will be trimmed.
  • Common Areas are another frequent topic of conversation at Sandpiper.  There are 3 different overgrown areas between buildings 4 & 5 lakeside that will be removed.  Do Not Feed the Geese signs will be painted and straightened.  The growth around utility boxes will be removed. 
  • Address Numbers are being replaced on the buildings that have been painted and will be replaced going forward as buildings are painted. Currently, not all numbers are the same style throughout the community and so this will rectify this issue.


ISSUES BEING ADDRESSED


  • A raccoon issue has been reported on the south side.  We have signed a contract with a trapper service that will be catching our little critters.
  • The Board will be meeting with the Landscaping Company that currently mows our lawn at Sandpiper.  We will walk the property and point out issues that have been brought up and see what can be done to rectify them.  Example, weeds around utility boxes, grass trimmings blown up to the edge of the unit and now the grass is dead, weed whacking, etc.
  • We will be talking with ASAP who treats the lake to see if they can also spray the Rip Rap (seawall) around the lake for weeds.
  • The front lamp post outage on the West side has been corrected. 
  • We have a low-lying area on the east side, south of the pool.  This area collects water when it rains and attract mosquitoes.  We have requested these to be filled in with topsoil and seeded in order to correct.


Reminders


  • We continue to see dogs tied up with no homeowner outside with the dog. Please remember to stay with your dog when outside
  • Security- Please make sure that your front lamp post has a working light bulb. Washing the glass brightens the light too.
  • If you would like to have your back light(s) fixture updated to match the front, please contact info@psgcondos.com. This update is at the homeowner's expense.
  • If you have a question about who is responsible for what, there is a Maintenance Checklist on the website that will answer your question(s).
  • We all received a notice about illegal parking on the city street that runs through Sandpiper. Our security company will enforce ticketing and towing of illegally parked vehicles
  • The Board has received complaints about signs being hung in windows. According to our Covenants, there is to be no signage hung in windows. Signs can be placed in front area of each unit that the homeowners is responsible for. If you have signs hung in your windows, we ask that they please be removed.
